Sales Co-Ordinator
We’re partnering with a well-established and expanding media and publishing business to recruit a Sales Coordinator to support their commercial and production teams.
This is a pivotal, cross-functional role that sits at the heart of the business, ensuring the smooth delivery of sales administration, publication production, and client communications across a range of print and digital products.
You’ll play a key role in coordinating workflows from initial booking through to final delivery, working closely with internal teams and external stakeholders, including public sector organisations.
The Role
As Sales Coordinator, you will be responsible for managing sales administration, coordinating production processes, and supporting the delivery of publications and digital content.
This is a varied role requiring strong organisation, attention to detail, and the ability to manage multiple priorities in a structured and process-driven environment.
Key Responsibilities
Sales & Administration
- Prepare and manage Letters of Agreement (LOAs), including approvals and documentation
- Maintain and organise records across shared systems (e.g. SharePoint/F Drive)
- Compile and distribute advertising lists for internal and external approvals
- Send campaign launch communications using branded templates
- Maintain and update client tracking spreadsheets and booking systems
- Monitor shared inboxes and coordinate invoice approvals
- Liaise with external stakeholders (including councils) to chase approvals and content uploads
- Ensure all sales data and deal records are accurately updated
Production Coordination
- Create advertisements based on confirmed bookings
- Implement amendments and updates provided by clients/stakeholders
- Review and quality-check publication drafts to ensure:
- Content accuracy
- Correct contact details
- Consistent branding and logo usage
- Coordinate internally to ensure all production deadlines are met
Digital & Website Management
- Maintain internal tracking systems and website records
- Update content across digital platforms and portals
- Manage publication records within CRM systems (e.g. HubSpot)
- Support updates to company websites hosted on platforms such as Wix
Marketing & Creative Support
- Create visual assets such as thumbnails for sales and marketing use
- Produce pre-publication adverts and branded materials using templates
- Prepare content for approval ahead of publication
Data, Compliance & Administration
- Maintain key documentation including publication coding systems
- Support onboarding processes for new starters
- Assist with drafting correspondence where required
- Ensure all records, systems, and documentation remain accurate and up to date
About You
- Strong organisational and administrative skills
- Excellent attention to detail and accuracy
- Comfortable working with multiple systems and spreadsheets
- Experience using CRM platforms (e.g. HubSpot)
- Confident communicator with the ability to liaise with external stakeholders
- Proactive and capable of managing multiple tasks simultaneously
- Process-driven with a strong ability to follow tasks through to completion
Desirable:
- Experience working with councils or public sector organisations
- Background in media, publishing, advertising, or similar environments
- Experience managing or updating websites
